Prepare the source collection

Identify authoritative documents and their owners. Remove duplicated or outdated guidance, preserve useful headings, and label access boundaries. Do not assume that everything in a shared drive should be available to every user.

Retrieve, then verify

Split documents into meaningful chunks, retrieve relevant passages, and test questions against the original source. Citations should lead to evidence, not merely to a vaguely related page. Test terminology differences and questions whose answer is not present.

Know when to abstain
